Pangea Rally - Refund & Cancellation Policy

Merchant of Record: Pangea Partners (Pty) Ltd t/a Pangea Rally (“Pangea”).
Jurisdiction: Republic of South Africa.
VAT: South African VAT at 15% applies to the final invoice for the full event fee. No VAT is charged on deposits (per our tax advice).
Effective date: 20 February 2026.

Plain-English summary: We run a complex, multi-site rally. We commit early to suppliers, which creates real costs. This policy balances fairness to riders with
the realities of delivering a safe, premium event.

1) Scope & Applicability

This policy applies to all bookings for the Pangea Rally and related add-ons purchased directly from Pangea. If you booked through a reseller/partner, their terms may also apply.

2) Booking, Deposits & VAT

  • Deposit: R10 000 to secure a Pangea Rally place plus R5 000 to secure a bike rental.  7-day grace: If you cancel within 7 calendar days of payment, the deposit is fully refundable (grace period not available for bookings made 45 days or less before Day 1). After 7 days, the deposit is non-refundable.

  • VAT treatment: VAT is charged on the final invoice for the full event fee; no VAT is added at the deposit stage.

3) Balances, Non-payment & Admin Fees

  • The balance of the entry fee is due 31 July 2026 (final invoice; VAT inclusive).

  • If unpaid by the due date, we may cancel the booking and retain the deposit.

  • Reasonable admin fees may apply for changes (e.g., name transfers) to cover processing costs.

4) Rider Cancellations (Deferrals & Forfeits)

  • 45 days or more before Day 1 (on or before 6 September 2026): Free one-time deferral to the next edition (subject to availability and price difference will be payable). No cash refunds.

  • 45 days or less before Day 1 (from 6 September 2026): All fees forfeited; no deferrals or refunds.

  • Credits/deferrals are non-transferable unless we approve in writing.

  • Compassionate exceptions: In cases of death, hospitalisation or severe
    illness/injury,     we may waive or reduce cancellation fees on receipt of reasonable proof, in line with the Consumer Protection Act.

5) Substitutions (Name Transfers)

You may transfer your entry to another qualified rider up to 7 days before Day 1, subject to safety screening and an admin fee of R2 000.

6) No-Shows & Early Departures

No-shows and early departures are not eligible for refunds or additional credits.

7) Event Changes, Safety & Force Majeure

We may adjust routes, schedules or venues for safety, permits, weather, fire, public order, government action, labour disputes, pandemics or similar force majeure events. If we cancel or materially postpone, we will offer a deferral and/or credit less irrecoverable costs (e.g., committed supplier charges) instead of a cash refund. Minor changes do not trigger refunds.

8) Minimum Numbers

If minimum participant numbers are not met, we may cancel and offer a full refund of fees paid to Pangea or a deferral/credit. We are not responsible for third-party costs (e.g., flights, visas, insurance).

9) Currency, FX & Charges

  • Prices are in South African Rand (ZAR) unless stated otherwise.

  • Foreign cards: bank FX spreads, international fees and exchange-rate movements are for the rider’s account. Refunds are processed in ZAR; FX differences are outside our control.

  • Chargebacks: initiating a chargeback contrary to this policy may delay resolution; we will supply documentation to our acquirer.

10) Insurance & Visas

Riders are strongly advised to hold travel/medical/evacuation insurance adequate for off-road motorcycling. Visa, immigration and health entry requirements are the rider’s responsibility.

11) How Refunds Are Paid

Approved refunds are processed to the original payment method within 10–15 business days after approval. Processing times may vary by bank/card network.
